Volunteers Needed for all of these areas
​- build your resume - fill your time - meet new people

VICE PRESIDENT
  • Chair meetings when President is not available
  • Review policy and procedures
  • Vote as part of Executive Committee for overall WCC direction
  • Assist with vacant positions as required
  • Provide a non-bias approach to situations and meetings

BINGO COORDINATORS - 2 positions
  • work with WCC LGCA Permit Coordinator to apply for license with LGCA
  • complete weekly bingo reports
  • order bingo paper as required (WCC covers cost)
  • work with Canteen Coordinator to purchase dabbers for resale to players (WCC covers cost)
  • organize paper sales, cash floats, and volunteers for each week
  • be present at each bingo event, calculate extra game prizes, and keep all cash secure
  • complete financial report and submit to LGCA

CANTEEN COORDINATOR
  • hold/obtain current Food Handler Certificate (cost to obtain covered by WCC)
  • work with event coordinators to set canteen menus
  • determine groceries required and purchase (WCC covers cost)
  • prepare kitchen and foods for and during events
  • operate canteen during hours set with event coordinators
  • clean kitchen to maintain sanitary standards throughout preparation, operation and post event
  • organize volunteers to assist with food preparation, sales and cleanup

FACILITIES RENTAL COORDINATOR
  • answer enquiries about rental of WCC spaces
  • meet with rental parties to view space, and to pass and collect keys
  • communicate with Falcon Beach School Principal and WCC Executive members regarding set up of rental space
  • keep schedule of rental bookings
  • provide agreements and invoices, and collect payment from rental parties
  • inspect rented space after events to ensure rental parties meet cleaning standards and return damage deposit

FUNDRAISING INITIATIVES COORDINATOR
  • work with WCC Executive and Grants Coordinator to develop complementary fundraising opportunities outside of the current programming revenue and project specific grant awards
  • potential ideas include:
patron or corporate donations
sponsorship
merchandise
fundraising event(s)

WHITESHELL HOCKEY LEAGUE
  • work with Outdoor Ice Rink Coordinator to ensure ice ready for hockey
  • coordinate with players to develop schedule
  • determine if any cost recovery required for necessary equipment (nets), ice/facility maintenance

The Whiteshell Community Club is solely operated by volunteers. Volunteers are what keep our community strong. If you would like to volunteer please contact the club to discuss the endless opportunities that suit your interest!



Whiteshell Community Club By-Laws (Summary)
​

The Whiteshell Community Club has 3 by-laws pertaining to the organization of the Club; located below is a summary of each. Members may request a full copy of the by-laws by contacting the President.

By-law 1 - Transaction of Business and Affairs

     1. ​Membership Dues
  •   The Directors will set the price of dues
  •   Family Memberships will be made available
  •   Family consist of immediate family members (2 adults, and children under 18)
  •   No organization memberships will be issues
    
     2.  Voting    
  •   Each member over the age of 18 has the right to vote
  •   Members may assign their vote by written proxy

      3.  Members Meetings
  •   The Annual General Meeting will be held every fall
  •   There shall be 3 other general meetings throughout the year
  •   Special meetings may be requested by the Board or by at least 7 members
  •   Requests for special meetings are to be made to the secretary in writing
  •   Once a request for a special meeting is received the Board will have 2 weeks to announce the meeting

      4. Quorum
  • Fifteen (15) members make up a quorum
  • A quorum must be present to request a vote

      5. Directors
  •  The daily business of the Club is managed by a Board of Directors
  •   2/3 of the Board must be present to conduct business
  •   To be a Director, the member must have paid his/her fees
  •   Directors are elected at the Annual General Meeting
  •   Any members may be elected
  •   Directors are not allowed to be paid for their services
  •   Directors may be removed from office, should 2/3 of all members vote to do so at a members meetings or at a special meeting

      6. Committees
  • There shall be at least 6 committees
  •  Committee Chair Persons shall be appointed by vote
  •  If no member wishes to be elected, the board will appoint a member to the position

      7. Executive Committee
  •  The Executive Committee will consist of the President, Vice President, Secretary, Treasurer, 4 General Board Members and Committee Chairpersons
  •  The Executive Committee will meet monthly

      8. Other
  •   The Board of Director has the right to employ legal counsel
  •    The Board of Director has the right to employ financial counsel
  •    The Board of Director has the right to approve projects which are deemed necessary to the daily function of the club (example - they can choose how to repair the sink upstairs but cannot choose to install a skateboard park without calling a member meeting)

By-law 2 - Financial Obligations

          1. The Board of Directors are authorized to borrow money and use the Club has
               collateral
          2. The Board of Directors can limit or increase the amount of money borrowed
          3. The Board of Directors can guarantee the repayment of debts

By-law 3 - Service of Liquor

          1. Service of liquor is permitted to members
          2. Each member may sign in 2 guests 
          3. These guests are allowed to be served liquor
          4. No liquor shall be sold or served when the premises are being used by the 
               Falcon Beach School for a sponsored activity
           5. Special occasion permits must be obtained to serve liquor at events where 
               non-members will be present
           6. Bartenders will be certified by Smart Choices Manitoba



Meeting Conduct

All members are  encouraged to review Robert's Rules of Order. These rules are guidelines to be followed at meetings, which include, members rights, right for the Club to do business, how to make a motion and procedures to request a vote. 
Understanding Robert's Rules of Order increases the understanding of how a meeting should be organized. The Club is committed to ensure all meeting are productive, respectful and informative to all attendees.
